AiMRON CSE Ltd – AI Usage Policy

AiMRON CSE Ltd recognises the role of artificial intelligence in improving efficiency, consistency, and access to information. We actively embrace the responsible use of AI where it supports our work.

However, in line with established UK engineering practice, all engineering design undertaken by this business is human-led, independently checked, and formally approved.

Artificial intelligence is not used to generate, optimise, or approve engineering designs.

All engineering judgement, technical decision-making, and design responsibility remain with competent engineers at all times.

Scope and Interpretation

For the purposes of this policy, "AI tools" includes generative artificial intelligence systems, large language models, and any software or platform incorporating AI-assisted functionality.

"Engineering design" and "engineering judgement" include any activity involving technical decision-making, calculations, modelling, specification, or assessment of structural behaviour, safety, or compliance.

This policy applies to all use of AI tools in connection with company work.

Regulatory and Professional Framework

Our engineering work is governed by:

  • Building Regulations 2010 (as amended), including Approved Document A (Structure), for legal compliance

  • British Standards and Eurocodes (BS EN 1990 to BS EN 1999 with UK National Annexes) for technical design

  • IStructE Checking Regime for Permanent Building Works for independent checking and verification

  • BS 5975:2019 for temporary works procedures

All engineering design and checking is conducted within this framework. AI tools are not permitted to participate in any activity that falls within its scope.

Human-Led Design and Checking Culture

Our engineering work follows defined checking procedures consistent with the IStructE Checking Regime and BS 5975, including:

  • Clear allocation of design responsibility

  • Defined levels of checking appropriate to the complexity and risk of the work

  • Independent review by a competent engineer

  • Formal approval prior to issue or construction

All designs are created, checked, and approved by humans, with accountability clearly assigned and retained.

Governance and Control of AI Use

The use of AI tools is governed by internal controls that restrict their application to non-engineering activities only.

AI outputs are not relied upon as a source of engineering judgement and are not used to inform, validate, review, or sense-check engineering designs or calculations.

The business maintains appropriate governance measures in relation to AI use, including:

  • Approval and periodic review of permitted AI tools

  • Internal guidance on appropriate use and limitations of AI

  • Mandatory human verification of all AI-supported outputs prior to use

  • A requirement to report any unintended disclosure or misuse of AI tools

AI tools must not be used to input, upload, or disclose any confidential information, personal data, or project-specific material, including drawings, calculations, photographs, or client deliverables, unless the tool is expressly approved and such use is compliant with contractual, confidentiality, and data protection obligations.

The business maintains an approved list of AI tools, which is reviewed periodically and is available on request to clients or insurers. Tools are approved only where data is not used to train foundation models, data residency is within the UK/EU where available, enterprise-grade security controls are in place, and appropriate contractual data protection exists.

Permitted Use of AI

AI tools may be used only in support roles that do not involve engineering judgement or technical decision-making, including:

  • Background research and information gathering

  • Drafting, formatting, and structuring written material

  • Summarising non-technical or publicly available information

  • Improving clarity and consistency of reports and communications

AI-supported outputs are treated as draft material only and have no standing within the engineering design, checking, or approval process. All such material is reviewed, verified, and edited by our engineers before use.

This policy does not prevent the use of established, company-approved engineering software incorporating automated or AI-assisted functionality, provided that all outputs remain subject to the standard human-led design, independent checking, and formal approval processes.

Prohibited Use of AI

Artificial intelligence is not used for any activity that falls within the scope of engineering design, checking, or approval.

This includes, but is not limited to:

  • Producing engineering designs, calculations, or models

  • Establishing load paths, capacities, or stability mechanisms

  • Selecting materials, member sizes, or construction sequences

  • Determining temporary works categories or check levels

  • Assisting with, validating, reviewing, or "sense-checking" engineering designs or calculations

  • Undertaking, substituting, or automating design checks

  • Replacing engineering judgement, competence, or experience

AI does not determine risk, category, adequacy, or compliance of engineering solutions.

Design Checking and Verification

All engineering designs are verified using established analytical methods, recognised standards, and non-AI-based engineering tools.

Design checking follows the IStructE Checking Regime and the principles of BS 5975, including appropriate levels of independence, competence, and documentation.

AI tools do not form part of the formal checking or approval process.

Auditability and Traceability

Engineering decisions, calculations, and approvals are recorded and attributable to named individuals. Where AI tools are used for permitted support activities, their outputs do not form part of the engineering record, design basis, checking documentation, or approval trail.

Accountability and Responsibility

Responsibility for all engineering work rests with the named individuals assigned to each project.

The use of AI does not transfer, dilute, or reduce professional responsibility.

Accountability for design adequacy, safety, and compliance remains entirely with AiMRON CSE Ltd and the responsible engineers, in accordance with professional duties and contractual obligations.

An AI tool cannot be listed as the author of any AiMRON CSE Ltd output, as AI cannot take responsibility for the quality and content of the work.

Governance and Ongoing Review

We monitor developments in AI and digital technologies to ensure any future use remains aligned with:

  • Approved Document A and the Building Regulations 2010

  • The IStructE Checking Regime and BS 5975

  • Professional and ethical obligations

  • Insurer and regulatory expectations

This policy is reviewed periodically to ensure continued alignment with industry guidance and best practice.

Where AI is used for permitted support activities, its use does not replace professional judgement and will not be represented as independent technical analysis. The business will respond transparently to reasonable client or insurer enquiries regarding its AI governance approach.
